Who we are

ClipDesk is salon-management software for grooming and salon businesses, operated in Australia (legal entity details to be published before public launch). This policy explains what personal information we collect, why, and how it is handled, in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

Two kinds of people use this service

Salon accounts — owners and staff who sign in to run their business. We collect your name, email address, and role so the software works and so we can support you.

Salon clients — if a salon you visit uses ClipDesk, the salon records information about you and your pets (contact details, appointment history, pet care notes, photos). The salon is responsible for that information and for having a lawful basis to hold it; ClipDeskstores and processes it on the salon's behalf and never uses it for our own marketing. If you want your details corrected or removed, contact your salon — the software gives them tools to do both.

What we collect

Account details (name, email, encrypted password or your Google/Apple/Facebook sign-in identity); business details you enter (salon name, contact details, services, prices); records salons keep about their clients and pets, including photos; messages sent and received through the platform (SMS and email, so there is a record of what was sent); payment metadata such as invoice amounts and payment references; and basic usage information that helps us keep the service working.

We never collect or store card numbers.All card entry happens on our payment provider's secure pages (Stripe); we hold only payment references.

How we use information

To run the service: bookings, reminders, invoicing, messaging, and the other features salons use. To support you when something goes wrong. To keep the platform secure and prevent abuse. To improve the product using aggregated, de-identified usage patterns. We do not sell personal information, and we do not use salon client lists for ClipDesk's own marketing.

Service providers we rely on

We use reputable providers to deliver parts of the service, each receiving only what they need: secure cloud database and file hosting; Stripe (payments); Twilio (SMS and phone routing); Google and Apple and Meta (optional sign-in; optional calendar sync; optional Instagram publishing — each only if a salon connects it); and an AI provider that powers the in-app help assistant (help questions only — never your client records). Some providers process data on infrastructure outside Australia; we choose providers with strong security and contractual protections.

Text messages and marketing consent

Salons send booking texts (confirmations, reminders) as ordinary business communication, and marketing texts only to clients who have opted in, consistent with the Spam Act 2003 (Cth). Replying STOP to any message stops texts from that salon's number, immediately and automatically.

Photos

Pet photos are stored privately, with location metadata stripped on upload. A photo is only ever published to social media through the platform when the salon has recorded the client's explicit consent — the software physically blocks posting without it.

Security

Every salon's data is isolated from every other salon's at the database level. Data is encrypted in transit. Staff access is controlled by roles, and payment card data never touches our systems.

Retention and deletion

While a salon subscription is active we keep its data so the service works. If a subscription is cancelled, the salon can export everything; we send export reminders and then permanently delete the salon's data 90 days after cancellation. Salons can also anonymise individual client records at any time (financial records are retained in de-identified form as required for tax law).

Access, correction, and complaints

You can ask us what personal information we hold about you, and ask us to correct it — email [email protected]. If you are a salon client, start with your salon, since they control their records. If you believe we have mishandled your information and we cannot resolve it, you can complain to the Office of the Australian Information Commissioner (oaic.gov.au).

Changes

If this policy changes materially we will notify account holders in the app and update the date at the top. See also our Terms of Use.
